Cloud License
1) Overview
Cloud license is a pool license system where licenses are returned to the server after a period. This provides flexibility to Accounts that have multiple transferable licenses to use licenses when available in the pool without having to manually release licenses. The goal of this document is to show how to enable licenses for PCTEL applications. This document presents a step-by-step approach on how a license is created.
This document is applicable to products where the BOM includes this document. Examples include SeeHawk Touch, SeeHawk Collect.
Notes:
- Each SO must contain: Company, First Name, Last Name, email address, Admin email, P/N Quantity.
- Planning will be copied on every order (DL-RFS-SeeHawk-License-Request@pctel.com) and the notification email will be sent directly to the customer.
- By default, we will create new entitlements on all Sales Orders unless informed otherwise.
- Customer portal accounts to manage Cloud licenses will be created. This will be created using the Admin email in step from the sales order.
- Multiple quantity orders will be entered as 1 entitlement ID (1 activation code) as default.
- For SeeHawk Touch and Collect, the steps remain the same.
- Choose the part number according to PO number or order number.
- If option order separate from original order, can be added to the original entitlement with new line of item, which create separate activation code.
- Maintenance will only be made on the base Products. Options added will have the same maintenance has the base product.
- The person creating the license must review the sales order for accuracy before creating the license.
2) Connect to FlexNet Operations Server
Open your browser and type in:
https://pctel-fno.flexnetoperations.com/flexnet/operations/logon.do?logoff=true
Each member that has the rights to create a license will have their own specific username and password.
The Home screen will appear.
3) Software License creation
Creating Entitlement:
- Select “Entitlements”
- Select “Create”
The Entitlements screen will appear.
For Entitlement ID, select “Specify” and use the following entry method - > yyyymmddii
YYYY = Year
mm = month
dd = day
ii = index (will be 01 if 1st license is created on this day, 2nd will be 02, etc… until 99)
- For ship to email: required and entered for reference.
- New order = enter from Sales Order (add the PCTEL sales contact email so they will receive the email also)
- For End Customer, select “Add” to enter new Customer information.
Creating Account or adding entitlement to existing account:
- Perform the following:
- Search = if not aware the Organization exists.
- Create an Account = if the Organization does not exist click on ‘Create an account’.
Select Organization once it appears in the list.
- Select “Next”
Creating End Customer Info:
- Perform the following for “End Customer”:
- Search = if not aware the Contact exists
- Create a Contact = if the Contact does not exist using ‘Create’
- Create a contact by entering details in required fields “*”
If new order, enter from customer’s PO or PCTEL Sales Order
- Click “Save”. User has been created for the account.
Creating License:
- From Line Items, select “New Line item.”
- Select the Product desired based on part number (from SO) and then click “Next.”
- Select the Part number and leave the “License Model” to the default selection then click “Next”.
- Complete the following: Configure Product
- Description: = Enter SO #/ PO # both
- Order ID: = Enter SO #/ PO # both
- Qty.: = Enter according to SO
- Version Date: = Use maintenance date
- Start Date: =Date the entitlement starts
- Expiration: = PERMANENT
- Click “Next”
- For step 4 (last step), leave Type = New order. This should be default. Click “Save”.
- You will now see a new line entry created. This is for the base model. If more options are required by the SO (such as SA – signal analyzer), you need to click “New Line item” again and follow the previous steps 11 to 14. When complete, this will create a 2nd line item with a 2nd activation ID.
- Attach a maintenance to this license. Select Maintenance Line Items” tab then click “
- Select “Included maintenance” then click “Next”.
- Select Part Number “IM-1”. Enter Order ID which is Sales Order number. Start Date is today’s date. Expiration date is 1 year from today’s date. Click “Save”
- Select “Line Items” tab, click the license checkbox and select “Link maintenance line items”
- Select the Maintenance that was just created and click “Save”
- You will now see a Maintenance entry.
- Click Save and Deploy to make the License active.
- License will be now deployed and ready to be sent to customer.
Creating Cloud License server:
- New tab open FlexNet and select device. From the Device tab in Flexera Select ‘Create Device’
- Create device as below.
Name: Name of the License Server. Please make sure this is similar to the Account Name for future reference. (modify this)
- Select ‘Devices’ from the Device tab to Map Entitlements. Select the device created in Step 23.
- Fill the ‘Quantity to Add’ with the Available Quantity licenses and ‘Save’.
- Click on ‘Generate Response’ for the license to be activated.
- All licenses created will have the same Activation ID. License Server ID is what will be used on SeeHawk Collect/Touch to get licenses.
All Cloud licenses for an Account shall be under the same License Server ID. Customers having SeeHawk Touch and SeeHawk Collect licenses shall be created under the same License Server ID.
Creating End user portal Admin access:
- From the Account Tab Click All accounts.
- Search for the Account created in previous steps. Click on Create a User
- Fill in the info First Name, Last Name and email. This email is the Admin Email from the sales order.
Select ‘Yes’ for End-User Portal Access.
Check ‘Portal Admin User Role’ and ‘Portal User Role’ and click ‘Save’.
Click ‘Save’.
An email will be sent to the email address with info on the login credentials and link.
IF already created User in step 8, double click on users, Select ‘Yes’ for End-User Portal Access.
Check ‘Portal Admin User Role’ and ‘Portal User Role’ and click ‘Save’.
Click ‘Save’.
- Go to first tab where you created license and click”Email”
You will now see the customer’s email, salesperson email. Add to this address:
DL-RFS-SeeHawk-License-Request@pctel.com and these needs separated by a comma “,” between the end user’s email. Planning will then be copied on this email and use this as a record for the license being sent to the end user.
Changing/Modifying End user portal Admin access:
Portal admin access can be changed if the admin leaves the organization. This can be done by creating a user and enabling End user portal and Admin access.
- Search for the Accounts from Account & users>All Accounts. Find the account for which new user needs to be added. Select Create User.
Fill in the info First Name, Last Name and email. This email is the Admin Email from the sales order.
Select ‘Yes’ for End-User Portal Access.
Check ‘Portal Admin User Role’ and ‘Portal User Role’ and click ‘Save’.
Click ‘Save’.
From the entitlement page for the account change the End customer info to new contact so that all emails go to this person.
Remove the initial contact person who has left the organization from the list.
An email will be sent to the email address with info on the login credentials and link.
- Uncheck the Portal Admin User Role’ and ‘Portal User Role’ and click ‘Save’ for user whose permission needs to be removed.
4) Adding Additional Licenses to Products
Customers with existing Cloud Licenses can add additional licenses (Count) to their existing license.
Info needed on SO:
Customer First name, Last Name, Account (Organization), License Server ID, Product Part Number, Quantity.
- Select Device to Search for a Device. From the filter select Device ID and Search the License Server ID provided.
- Open the device and Search for the Product Activation ID for which licenses needs to be added.
- Click Entitlements>List Entitlements by Order and Search for the Activation ID. Open the Line Item.
- Click on Edit for the Product where licenses need to be added.
- Change the Product Quantity to add the new licenses requested. Version date needs to be changed to one year (or additional) from the day the additional licenses are added.
- All current products maintenance need to be updated. Customer need to purchase additional maintenance to sync up current licenses to new maintenance date.
- Click Save. Click on Maintenance Line Item to add new Maintenance Line Item. Add new maintenance and Link it with the Product. Click SAVE and deploy.
Sending emails for updated Product:
To send out emails for updated products without having to send for all products within the entitlement follow the below steps:
- Select the Correct email template to send out email. Click Save and Deploy.
Click on Activate as shown below.
- Select the Line item (Product) for which additional licenses were added. Click Email.
Note: Only one Line item can be checked at a time.
- Email page will open. Click on ‘Send’ to send out an email.
5) Converting Perpetual or Transferable License to Cloud
Existing Perpetual and Transferable Licenses can be converted to Cloud licenses on request from customers. Existing licenses need to disabled and new Cloud licenses need to be created.
Info needed on SO:
Customer First name, Last Name, Account (Organization), Current Entitlement or Activation ID (of all that need to be converted), Quantity of how many Perm/Transferable licenses need to be Cloud licenses required.
- Select Entitlements> List Entitlements by Order
- Search the Entitlement using Entitlement No form Sales order. Open the Entitlement. Entitlement and make the license expire (Put and older date)
- License users or admin needs to be notified to do and ‘Update License’ on PCTEL applications to have the license completely removed.
- Once the customer confirms the Update License process has been completed, license on Flexera can be changed to Obsolete State.
- Follow steps in Section 3 to create new Cloud Licenses.
